What is contract obligation management?

It means finding every commitment in your contracts, such as payments, SLA reports, deliveries, compliance filings and renewal notices, and tracking each one to its due date with a named owner. Aviara Contracts does this with COVA and the Obligations Agent, and a person confirms every obligation before it goes live.

Can Aviara Contracts track payment and invoice obligations?

Yes. Payment schedules, invoice submission windows and late payment terms are found like any other obligation. Because Aviara Contracts runs on the same platform as Aviara Invoices, those terms can also be checked when the invoice arrives.

How are obligations found in a contract?

The Obligations Agent reads the contract when it is uploaded, emailed in or synced, finds the clauses that create a commitment or a deadline, and links each obligation to its clause with a type and a confidence score. Your team accepts, edits or rejects each one.

Which systems does it work with?

Contracts come in from Google Drive, SharePoint, Dropbox, Box, Amazon S3 and email inboxes. Aviara Contracts also connects to Salesforce, HubSpot, QuickBooks, Zoho Books, Zapier, Make and a REST API.

How are recurring obligations handled?

A commitment that repeats, such as a yearly fee or a quarterly report, is tracked as a series of dated occurrences. Each one has its own status, so a payment made last year does not hide one that is overdue this year.

Q: What is COVA, and what are behaviours?

COVA is the contract assistant inside Aviara Contracts. It plans the work and calls agents such as the Contract Analyser, Obligations, Renewals and Email Ingest agents. Behaviours are saved instructions, like a risk review or a summary format. Use the built-in ones, or write your own and share them across your organisation.

Q: Does a person stay in control?

Yes. COVA and its agents propose. A person approves anything that touches money, a commitment or compliance.

Q: Do we have to replace the systems we use now?

No. Aviara Contracts connects to Google Drive, SharePoint, Salesforce, HubSpot, SAP, Oracle, QuickBooks and more, or to your own systems through our REST API.

Q: Where is our data kept?

On Microsoft Azure, in the region you need. US clients are hosted in US Azure regions and India clients in India Azure regions. Data is encrypted at rest with AES-256 and in transit with TLS 1.2 or higher.

Q: Is our data used to train AI models?

No. Your contracts are never used to train or fine-tune any AI model, ours or a third party's. We only use AI providers whose terms prohibit training on customer data.

Q: How do you control access and keep an audit trail?

Access is role-based and each customer's data is kept separate. Actions are logged with a timestamp and the user, and COVA shows the sources and steps behind each answer, so you can always see who did what and why.

Q: What happens if there is a security incident?

We acknowledge it within 24 hours, share an initial assessment within 72 hours and send a final report within 30 days of closing it. Backups are encrypted and kept in the same region as your data.

Q: Can we review your security before we buy?

Yes. We share our security, privacy and AI governance policies, answer your security questionnaire and support your audit. We act as your data processor under India's DPDP Act, GDPR and CCPA, and sign a data processing agreement where needed. Our SOC 2 Type II audit is in progress.
