How AI voice agents work
An AI voice agent runs a loop, many times a second, across four stages.
Speech to text. The caller speaks, and a speech recognition model transcribes the audio into text in real time.
Understanding and reasoning. A language model interprets the text, works out what the caller wants, and decides what to do, drawing on the business's own information where needed.
Action. If the task requires it, the agent looks up or updates a system, a calendar, a CRM, an order record, so the conversation does real work rather than just talking.
Text to speech. The agent's response is converted back into natural-sounding speech and played to the caller, and the loop repeats.
Two things separate a capable agent from a frustrating one. The first is latency: the whole loop has to complete fast enough that the conversation feels natural, without awkward pauses. The second is grounding. The agent's answers should come from the organisation's own data, its bookings, its records, its policies, rather than from general knowledge, so it gives correct answers rather than plausible-sounding ones. This grounding is usually done with retrieval-augmented generation, or RAG, which supplies the language model with the relevant business information at the moment it answers.
